Terms and Conditions

These terms and conditions outline the rules and regulations for the use of WTC Experiences(Legal Entity: Purplelight Digital Solutions LLP) Website, located at www.wtcexperiences.com These are the standard terms of Client Business of WTC Experiences (WTC), and all work undertaken by WTC shall be on these terms unless specifically mentioned in writing/email and agreed to by both parties prior to the event.

Event Booking Details
  • All bookings will be regarded as provisional until a 50% advance payment is received in our account or if WTC sales team shares a post-delivery payment confirmation over email.

  • WTC is not under any obligation to continue holding provisional bookings beyond the given option date (usually 10 working days from the date of booking), if the advance or emailconfirmation is not received. For the purposes of this Agreement “working days” shall mean

    Monday to Friday inclusive.

Price & Payment
  • All prices quoted by WTC may be amended if there is a change of scope or due to any errors or omissions or where an increase is caused by a change in the circumstances beyond the reasonable control of WTC.

  • It is strictly the responsibility of the representative of the Client confirming the booking to inform all relevant parties of the payment terms, as set out by WTC.

  • Advance Payment – An advance payment of 50% of the total fee payable (including GST), as quoted and agreed in writing, of any event or programme shall be payable on confirmation of the order. The remaining 50% shall be known as the “balance”.

  • Balance Due – the balance of the total fee shall be payable on the day of the event or per date agreed beforehand in writing

  • Additional Expenses – any additional expenses or fees resulting from any changes made by the Client, that have not been quoted in the agreed proposal but subsequently incurred by WTC, will be invoiced separately after the event. Payment will be due within 5 working days of

    presentation, any queries thereon raised within 3 working days of presentation and payment shall be made in writing or over email. WTC will agree any additional expenses or fees with the client prior to these being incurred.

  • Late Bookings – Should a booking be made within 5 working days of the event date, payment in full will be required to secure the event.

  • Any query arising from an invoice must be notified to WTC in writing by the Client within 10 working days of the date of the invoice receipt. Failure to comply will render the full invoice payable on the due date.

Confirmation & Cancellation Policy:

This clause applies to the following: where the client (a) cancels the entire event, (b) cancels partially or (c) reduces the duration of the event as a result of which the contracted value is reduced.

  • Should an event be cancelled, the following cancellation charges will apply and extend to the total scope which includes:

    1. Any required event venue

    2. Accommodations and function room hire

    3. Any showstopper bookings

    4. 3rd party payments – Equipment rentals, pre-booked food and beverage charges

In addition, the client will settle any third-party charges incurred by WTC on behalf of the client.

  • Cancellation Clause %

    • More than 30 working days prior to the event - Nil but excluding any 3rd party advance payments made by WTC which are non-cancellable/refundable

    • 5 or more working days prior to event - 90% refund of advance

    • 3 working days prior to event - 50% refund of advance

    • 24 hour prior to event - No refund

    • Any bank, payment gateway or administrative charges will be deducted from the refund value

  • All cancellations must be received in writing from the client and will be deemed to take effect from the date of receipt.

  • WTC reserves the right to cancel the client’s booking if there has been a change of more than 40% of the client’s original contract. Written notification will be sent to the client.

  • Any postponements of confirmed and contracted business or any Public Health Emergency or any law or any action taken by the relevant government bodies or public authority that directly affects the operation of the event will be considered as a cancellation in accordance with the above cancellation clauses. However, provided the revised event date is agreed (subject to availability) and takes place within 12 months of the original event date, payments received by WTC from the client shall form a credit towards the future event. Should any

    postponement costs be incurred by WTC the client will be notified and these costs will be deducted from the amount held as credit.

  • This policy applies to all circumstances including any COVID-19 related reasons such as:

    • transportation disruptions and cancellations, social unrest, border closures, travel visas being

    • declined, illness, travel or health advisories and quarantines.

  • All participants acknowledge that changes in itinerary, location, content, host or other arrangements may happen with little or no notice before the event, in response to reasons including but not limited to: weather events, security events, closed borders, public health scares, host or team sickness or injury. WTC Experiences reserves the right to do so at any time, although we will make every attempt to make decisions jointly with the customers.

  • It may be necessary to cancel an event for reasons beyond our reasonable control. If WTC is required to cancel an event, we will oder you the choice of either: (a) a refund for the paid amount minus transaction and administrative charges if any; or (b) credit for a future event of your choice subject to availability, to be used within 12 months from the notice.

  • Any refund due, once approved, will be issued within 30 days of receipt of the cancellation notice to your original payment method, which usually show up in 3 - 5 days.

Liability

On some events, the activities that the Clients will undertake may be inherently dangerous although all guests are fully supervised throughout. As such neither WTC or its employees or agents shall be liable for any damage, loss, delay or expenses caused to the client, its employees, agents, licensees or invitees or any other persons attending the event except insofar as it results from the negligence of WTC or breach of contract.

Please note that during particular events and on certain activities it may be necessary to request individuals to sign a liability waiver on the day of the event (although the same does not purport to exclude liability for damage to personal property of the Clients employees or staff or property damage caused to the Clients property or personal injury arising as a result of the

negligence of WTC), in which instances WTC agrees to indemnify and hold the Client harmless against all such claims.

This Agreement shall begin on the date hereof.
